At Autodocs we use the latest technology and software to produce digitised copies of documents and other media at premium quality levels for our clients, from a single document to many thousands.

For a small additional charge, we’re also able to use Optical Character Recognition to read the contents of a document as it is being scanned. This text is then embedded into a PDF for easier searching and interrogation at a later stage.

WHAT IS LARGE FORMAT SCANNING?

Large format scanning is the digitisation of documents and other media at sizes A3, A2, A1, and A0.
Not all documents conform to these standard sizes, and in these cases specialised techniques are needed to digitally scan the copy. 

Digitise and store your large documents

While many British offices do have a scanner, in most cases it is not large enough to capture and store images with dimensions greater than the standard A4 size. When businesses, charities, and public sector organisations want to digitise a larger document, or one that may also have a custom size, they will use a large format scanning service. Proscan Document Imaging’s specialist scanners can capture images up to 1020mm (40″) wide as well as wide format images.

What if my document is more than 1020mm wide?

If your document is particularly large, we will capture individual sections of it on our scanners and piece them back together using our specialist software. This means that your digital copy will be delivered back to you as one complete file.

Does the material a document is printed/painted/traced on matter?

We can work with almost any material on which the image or information you wish to be digitised is currently produced on, including bond paper, dyeline paper, film, plain paper, tracing paper, and vellum. Please contact us if you want to find out if we can work with your particular medium.

What resolution will my document be scanned at?

ProScan Document Imaging scans large format documents for clients at 200, 300, 400, 600 and 1200 dpi as standard. The higher the DPI, the higher the quality of the image stored. All of the documentation we digitise on your behalf is done so in accordance with BIP0008 which ensures the “evidential weight and (the) legal admissibility of information stored electronically”. This means that you don’t have to keep the paper copy if you don’t want to.

If you use a significant amount of space within your premises currently, you can safely expand without the need to find and pay for larger offices.

 

Secure and instantly retrievable

In the unlikely event of a fire or a similar significant event at your premises, your large format scans will be safely stored and preserved. We can upload your scans to the cloud or to a secure FTP area for easy access as well as transfer them to memory sticks, DVDs, and CDs.

Make amendments without affecting the original

When changes and amendments are needed to large documents, unrolling them, and laying them out takes up a lot of space within your offices. It may also be difficult for some members of staff involved in altering the contents of a document to see what they’re working on clearly.

By scanning large format documents and images, alteration work can be carried out on the digitised version – you can zoom in and out of individual parts of a document to achieve greater clarity and legibility. In addition, you preserve the original format of the document by working on its digital copy.

Our large format scanning service – how it works

We collect from your premises

One of our team or a trusted courier partner will collect the large format documents you wish to be scanned from your office location. If you require, we can also provide specialist large format boxes for storage during transportation.

Preparation of document for scanning

Upon arrival at Proscan Document Imaging’s Southampton premises, we then prepare your documents for the scanning process. We will unfold all of the material you send us and remove any staples to ensure that the quality and accuracy of the scanning is of the highest quality. Where there are larger quantities, we will also patch code and barcode your materials.

Your document is scanned and digitised

A job manager is then assigned to oversee the project. They make sure that every individual document is scanned to the requested resolution and, when converted into its final format, they attach any reference or drawing code required.

Digital reproduction delivered securely to you

Upon completion of the work, we then deliver the digitised images to you either in optical format (DVD), as a memory stick, or as a download from a secure FTP site or cloud.
